Welcome to Lesson 1 of ACC's Transcatheter Valve Certification Tool Orientation Course. This learning activity was developed by myself, I am Liza St. Clair, and I will also be narrating this presentation. Our goal for this lesson is to communicate all resources available to you within the Transcatheter Valve Certification Tool and provide an understanding of how to utilize that tool so that your path to certification is both successful and beneficial. Our objectives for this module is to first demonstrate how to navigate the online Transcatheter Valve Certification Tool, then we will identify the essential information that must be entered into your facility profile. Once logged into the Transcatheter Valve Online Certification Tool, the first page shown is the homepage. On the left-hand side, there is a navigation bar and allows access to facility information, contacts, essential components, shared practices, supporting documents, submission of the phases, your baseline and application, the message center, reports, contact us, additional resources, and the ability to change your password. This online platform allows you to have access to all elements of the certification tool, resources, references, and the ability to communicate with your assigned accreditation review specialist. Before we begin this workshop, viewers are highly advised to review user guides that will assist and facilitate the learning of the topics discussed in this workshop module, which are found under additional resources. These guides can be easily accessed by referring to the additional resources section and reviewing support materials within the references resources tab. There, users can access the following guides, the tool user guide and the messaging center user guide. These documents complement the topics that will be reviewed and provide a more comprehensive overview of the areas that will be covered within this course. Therefore, it may be helpful to have these guides available as a reference while completing this course. So, let's begin the first part of this module, which will review the navigation and essential information that must be entered into the online tool. The top header of the homepage provides the user access to several functions and outlines the facility's progress towards certification. In navigating the header, the top left provides your facility account number and the facility name. The actions feature allows those facility participating in multiple ACC accreditation or certifications and service lines to toggle to those other service line online tools. Please reference the tool guide for additional features. On the top right hand side of the homepage, there is other useful information. The username is displayed and just to the right is the option to log out of the online tool. The other features are the days left for next submission and the submission progress bar to track and monitor the progress towards deadlines. Reminders are provided should the facility become past due for submission as shown in this example. Once the facility completes all certification phases, the progress bars will reflect a numeric representation as in this image shown as 100% completed in both submission progress bars. Below the top header of the tool, the title of the left navigation bar will be displayed. For ease and navigation, there are back and next buttons on each of the main page of the transcatheter valve certification tool. Back and next buttons will allow the user to toggle through all sections of the certification tool. This function directly corresponds to the options provided on the left navigation bar. Therefore, the user may use this option for their navigation preference. The print function will allow easy access to review the essential component completion report. This may serve as a helpful tool to keep track of the completed areas and tasks delegated amongst individuals within the transcatheter valve multidisciplinary heart team. The print feature will provide the option to select the easy sections to include within the report. For the purposes of this training, we will click on select all and this will auto fill all the check boxes below. The PDF report can now be downloaded. Here is an example of the report. Note the feature on the right hand side provides a complete column which will indicate the status of that particular EC line item. In addition, while navigating the certification tool, a facility can easily access the online tool guide by selecting help. The first step to complete when accessing the online transcatheter valve certification tool is to complete your facility profile. To do so, click on facility information and enter the requested information within the submenus. Please enter and or edit the requested information. At the bottom of each submenu, confirm that the information is correct. Upon selecting yes, this will activate a green check box on the left navigation bar. This indicates that the information required for this section has now been completed. The green check mark features denotes completion of the specific area allowing for quick visualization of which items are still required and need attention. Next, the facility should confirm their contacts. On the left navigation bar, click on contacts and enter and confirm key contacts within the organization. At a minimum, the following must be provided. Executive sponsor, key contact, CEO president, and the transcatheter valve administrative coordinator or navigator. Fill in the appropriate fields and fields with a red asterisk must be completed. For recertifying facilities that were previously enrolled in transcatheter valve certification, there is an option to copy over the previous version of the facility's foundational information, electronic health records, and contacts. Information in the previous online application of the tool must have been entered. For contacts, only information that has passed with a green check mark in the previous certification application can be copied over directly into your recertifying application. If this option is available to you, your tool will display the following selections. Yes, copy information from the previous version. Answers are correct and validated. If this is chosen, it will copy over all information from the most recent corresponding service line tool. Please review the information is correct and provide an update as needed. The second selection is no. Do not copy updated information will be entered. If this is chosen, this selection will not copy over any information. This selection is for facilities who elect to manually enter all the requested data fields. The same selections will also be available for entering your EHR information. For recertifying facilities that were previously enrolled in transcatheter valve certification, there is an option to copy over the previous version of each facility's contacts. Again, this will only copy over the information if it was previously provided and had a green check mark. The options are as follows. Yes, copy information from the previous version. Answers are correct and validated. This selection will copy over all information if previously available and had the green check mark. The fields will auto populate and it can be updated as needed. For each contact, confirm the check box at the bottom of the screen. I have the above information and made all necessary corrections which act as the green check mark. The second selection is no. Do not copy updated information will be entered. This selection will not copy over any information if it was previously available and this selection is for facilities who elect to manually enter all sections. For each contact, confirm the check box at the bottom of the screen. I have reviewed the information and made all necessary corrections which activates the green check mark. Within this lesson, we will not be reviewing the transcatheter valve essential components. This topic is specifically reviewed in greater detail in lesson two. Continuing down the left navigation bar, the next selection is the shared practices option. Selecting this function will provide a consolidated list of examples of other ACC transcatheter valve certified facilities supporting documents. Facilities may utilize these templates as guidance to create a framework of forming their own specific policies or protocols. Supporting documents are uploaded after the baseline phase. After the baseline gap analysis has been completed, the facility can select this function to add, review, or delete any supporting documents that are required to demonstrate compliance with the essential component line item. All documents that provide supporting evidence, verify compliance, and illustrate facility processes can be viewed and uploaded here. The name, number of pages, and the date the document was uploaded will be listed in a table. Once all components of the baseline gap analysis are completed, the facility will go to the certification tool homepage and select submit baseline on the left navigation bar. Once baseline submission is complete, the submit baseline selection on the left navigation bar will now change to submit application to indicate that the facility has completed the first phase of the certification process. After entering the application form, after entering a message, it will populate the message center's notification box found on the left hand navigation column of the online certification tool. This allows for quick visual cue to see that a response was provided or a message has been sent by your ARS. The message center lists all current communication items in descending order from the most recent and will allow the user to reply directly to their assigned ARS. As noted earlier, for further details on how to use the message center, please refer to the messaging center how-to guide under the references and resources tab. Facilities will have access to informational reports within the reports function. The essential component completion progress summary report is similar to the essential component completion report available on the homepage. However, this report is more comprehensive and allows the user to review both completed and uncompleted essential component line items. When the completion rate is not 100%, specific values are highlighted in red. These values then have a direct hyperlink to a jewel-down report of those specific essential components that calculated that particular value. Lastly, there is the guidance statement report. This report provides a printable or downloadable list of all essential components with guidance statements. For further assistance or questions regarding the TransCatheter Valid Certification process or tool, click on Contact Us on the left navigation bar. Click on the Additional Resources selection on the left navigation bar to access all general resource documents. There are frequent additions to the information within this section of the tool. Information on updates to any of these tabs will be provided as needed. References Resources tab houses a compendium of user guides and other additional resources. Under the Educational Webinars, there are past webinars that can be viewed by the user. Tab Documents and Archives any release notifications regarding any upgrades or changes that may have been made to the tool. The Workshop tab provides access to training modules on topics related to the certification tool. And lastly, the ACC and the ACC-AEA training modules provide access to training modules and lastly the ACC Learning Center tab will allow you to access the certification workshop modules and other educational offerings within ACC's QII Learning Center. The advantage of this learning option allows the user to obtain C&E credits. Lastly, there is an option for the user to change their password when accessing the certification tool.
